Situation (Before Implementation)
Before implementing Odoo, PT Bangun Kapasitas faced limitations in monitoring and controlling activity budgets. Tracking budget allocation and actual usage was difficult, and cost and revenue information for each activity could not be viewed in real time. The company also experienced challenges in calculating rewards for C-level and M-level roles, as the reward mechanism required structured input based on activity budgets and role levels. In addition, the recording of initial capital and profit distribution across stakeholders was still handled manually, increasing administrative effort and limiting consistency.
Challenges

- Activity Budgeting Table for Planned vs. Actual Tracking. A budgeting table was used to track both planned and actual costs per activity, enabling clearer budget control and more structured monitoring.
- Reward Calculation Based on Activity Budgets. Reward calculation was structured based on each activity’s budget, enabling more consistent and measurable reward distribution.
- User Level Identification for Reward Logic (C-level & M-level). User levels were identified and used as the basis for reward calculation, supporting fairer and more transparent computation aligned to roles.
- Activity-Based Income & Expense Recording for Cost & Revenue per Activity. Income and expenses were recorded by activity, making it easier to calculate cost and revenue per activity and improving visibility for evaluation.
Result
With Odoo, PT Bangun Kapasitas improved its ability to track activity budgets against actual spending, gained clearer visibility of cost and revenue per activity, and established a more structured reward calculation mechanism for key role levels. Activity-based financial recording also reduced manual work and improved consistency—supporting stronger operational control and more data-driven decision-making.
